An important consideration in site selection

When deciding on the right location to hold your meeting, the ability to physically accommodate your meeting set up can be the final deciding factor in your site selection. Meeting facilities will provide you with a grid of their meeting room capacities. This grid usually includes ceiling height, room dimensions and the capacities for a variety of set ups, i.e.: classroom (school room), theater/auditorium, hollow square, conference, banquet and reception. These grids are very helpful in figuring out if your meeting fits. Keep in mind when using these guidelines that most facilities use straight square footage to determine capacities. It is up to you, the Meeting Planner to determine the amount of space needed for YOUR individual meeting set up. Special needs must be calculated into your square footage. If you require staging, for example, you will need a larger meeting space. Another example, if you wish to have everyone sit at round tables during the meeting, using only half of the table for seating (everyone facing the front of the room) your space needs will be different than the grid amounts.

Each group has very individual needs when it comes to setting up meeting rooms. These different formulas will help you to determine if a facility can accommodate your special needs and will assure you of the comfort of your attendees. Once you have made a commitment to a facility for your event, you may wish to get out your graph paper, ruler, and compass to design your own scale model using the actual dimensions of the meeting rooms you will be using. Remember the aisles, the staging, and the staging space and you will have a comfortable meeting setting!
